Signing a Contract

Cancellation and Refund Policy

Applies to: Bookings made for community facilities such as the Clubhouse, Multipurpose Hall, Guest House, Party Area, etc.

1. Booking and Payment


• Book through TROA website, app, or office.
• Full payment required at booking.
• Bookings are non-transferable.

 

2. Cancellation Policy

  7 days or more before booking                                                        100% refund

  3 to 6 days before booking                                                                  50% refund

  Less than 3 days before booking                                                      No refund

 

• Cancellations must be emailed to troa.mgr@gmail.com or via the society app.

3. Eligibility

•  Only registered residents/members of the society are eligible to book facilities.

• Tenants may be required to submit a valid NOC from the flat owner before making bookings.

•The RWA reserves the right to approve or reject bookings based on availability or past conduct.

4. Booking Process

• Facilities such as the Community Hall, Guest House, Sports Courts, or Party Area must be booked in advance via:

o   The troa website or mobile app, or

o  In person at the RWA office.

•  Bookings are confirmed only upon full payment of applicable charges.

•  Usage is permitted only for the purpose stated at the time of booking.

5. Facility Charges and Payments

•   The usage fee for each facility is set by the TROA and may vary based on duration, event type, or time of day.

•  Payments must be made online through the TROA portal or via approved modes (e.g., UPI, NEFT, Debit/Credit Cards).

•  All charges include basic utility usage (e.g., electricity, water), unless specified otherwise.

6. Security Deposit

• For certain facilities, a refundable security deposit may be required.

• The deposit will be refunded within 10 working days after inspection, subject to deductions for:

o Damages

o Excessive cleaning requirements

o Unauthorized use or rule violations

 

7. Rules for Use

•Facilities must be used responsibly and left clean and undamaged.

•Use of loudspeakers or music systems is subject to applicable noise regulations and may require prior approval.

•Smoking, consumption of alcohol, or illegal activities are strictly prohibited unless explicitly permitted by the TROA for specific events.

•Facilities must be vacated promptly at the end of the allotted time.

•Users must ensure that guests do not disturb other residents or damage society property.

 

8. Cancellation and Refund

•  Please refer to our Cancellation and Refund Policy for detailed terms.

• The TROA reserves the right to cancel bookings due to maintenance, emergencies, or misuse. A full refund will be given in such cases.

 

9. Liability and Indemnity

•The user shall be liable for any damage to society property during usage.

•The TROA is not responsible for any personal injury, theft, loss, or damage to personal belongings during the use of facilities.

•Users indemnify the TROA against any legal claims arising out of misuse or unlawful activity.

10. Modification of Terms

The TROA may update these Terms and Conditions from time to time. Changes will be posted on the society notice board, website, or app and will take effect immediately.

11.Dispute Resolution

• Any dispute arising out of facility usage will first be attempted to be resolved amicably through discussion with the Management Committee.

• Unresolved disputes may be escalated to the local Registrar of Societies or appropriate legal forum.
